FAQ #: 101
I bought some items from one of my vendors. I have the invoice, but I want to pay a different vendor, such as the credit card company, or a loan office, etc.
1. Enter the vendor you plan to pay the invoice to as the vendor on the Invoice Entry screen.
2. In the "Voucher #" field, enter BG followed by the six digit vendor number. Example: BG054321. You must use all six digits of the vendor's number, including any leading zeros.
This will allow you to search for purchase order/release numbers for the "buying group" vendor rather than the vendor you are entering the invoice for. The purchases are updated for both vendors when you use this feature.
If you are paying an invoice with a credit card, or already paid the invoice via credit card, AP Invoice Entry has a Credit Card button that may make this process easier. This button leaves the invoice on the original vendor and shows it paid with a generic reference number and date. Then, it prompts you to move the invoice to the credit card vendor. The window will ask you for the vendor as well as for the amount to transfer and any discounts to take on the transferred amount. Essentially this option puts the invoice both places, so the original vendor you bought the merchandise from can have their purchases updated and show the invoice paid. And, the credit card vendor can reflect the amount you owe to the credit card company.
