FAQ #: 111
When opening a Sales Order, Order Entry asks me to "Change the Original BackOrder" and then to "Re-Instate the Original BackOrder". What does this mean and how should I answer these questions?

An "Original BackOrder" is an order that has no items on it to ship, all items are on backorder. Each night when the daily invoice register runs, Answers scans the orders and all orders containing only backordered items are converted to "Original BackOrders".

The "Original BackOrder" status is important for releasing backorder items and for making sure that the original orders are updated properly. Users do not need to concern themselves with how Answers uses this code and the internal operating of the programs, but the question does arise as to how users should answer these questions when editing "Original BackOrder" orders.

When you pull up an order that says "This is an Original BackOrder, Do you want to Change?" you must answer "Yes" to change the order.".

Then, the program will ask "Do you want to Reinstate the Order". The answer to this question depends on what you are changing. If you are changing the header information (ship-to address, terms, salesman, etc) you can answer "No". If you need to adjust the backorder quantity, delete an item, or add an item that will be on backorder, you can answer "No". However, if you need to add an item or change a quantity and ship an item, then you must answer "Yes". You should then be sure to print the pick ticket for the order, ship, and then invoice this order for the items that are shipping. You should not answer "Yes" and put items on the order to ship and then not print a pick ticket and invoice the order.

It is important that if you answer "Yes" to re-instate and "Original BackOrder" order that you print a pick ticket and ship the order and then invoice it. Failing to ship and invoice items on these orders will prevent Answers from returning the order to it's "Original BackOrder" status and it could end up affecting the release of back ordered items on this order, and the updating of back ordered items that have been released.

If you are using Pick and Hold, the rules are not quite the same on the Pick and Hold tickets, because they do not create backorder releases, they are continually update the original order number that ends in 0. With Pick and Hold, when items are added to an order or released to an order from stock receipts, they will print on the ticket the next time it is printed. Since the same order number is updated over and over, you don't have to worry about the backorder releases. So, with Pick and Hold tickets, you should say "Yes" to "Reinstate the Order" in order for the pick tickets to generate properly when you add items to the order.
