FAQ #: 19
How Can I Change Company Information or Disclaimers on Laser Forms?

You can change the "disclaimer" area at the bottom of the Answers laser forms and you can change your company information that is printed at the top of the Answers laser forms. You cannot, however, modify the columns and the overall layout of the forms.

1. Open up WordPad.

2. You want to use the "Look In" box to find your answers folder. From a PC, this is normally the H: drive, however, based on your system setup, it could be a different drive letter. From the server, this is normally the D: drive. Once you go to the drive, in the answers folder you will see a print folder. In the print folder, you will see a file called "envir.var". If you have trouble seeing/locating the file, you may have to change the "Files of Type" in WordPad's "Open" dialog box to "All Documents (*.*)".

3. This file consists of value names on the left hand side followed by an equals (=) sign, and then the text to be assigned to that value in quotes. You can change the information contained inside of the quotes.

4. Scroll down in the file and look for value names that start with something like "DRCINVMSG" for Invoices followed by a number from 1 - 14. The lines 1 - 7 are the text lines for the left-hand box and the lines 8-14 are the text lines for the right-hand box. You can change any of this text as desired. Just be sure to leave the text surrounded by double quote marks on the beginning and end. Determining how many characters will fit on one line on the invoice can sometimes be a matter of trial and error. Normally you can type pretty much to the end of the line in WordPad and still have it fit when printed, but not always. It just depends on the letters used, upper-case vs. lower-case, etc. Also realize this file contains the text that is printed on all laser forms such as pick tickets, purchase orders, quotes, acknowledgements, etc.

5. Once you are done editing the text, save the file. Be sure to tell the program if prompted that you want it saved as a text file. However, sometimes it will then add another ".txt" extension onto the end of the file name. If this occurs, you can use Windows Explorer to go to this folder and rename the file back to its original name (envir.var) without any ".txt" extension. (Note: You will have to rename or delete the original one first.)

6. Once you have saved the file and are sure it is stored under its correct name, go into Answers and go to System Management-->Answers Printer Menu-->Generate Laser Form Values. This program will try to default the correct file name for you. The only thing you may have to change is the drive letter from "H:" to "D:" if you are running it from the server, or you use a different mapped drive letter for your server.

7. The next printing of the laser form will contain the text you changed. If you want to make further changes, simply repeat the above steps until you are satisfied with the results.
