FAQ #: 21
How do I determine when and how I got my General Ledger out of balance?

A helpful report to run in this situation is the Account Activity Report in G/L. It will list all entries by date instead of by account like the Trial Balance. It will then give the total debits and credits for each date. You could run the report for the entire month and then review each date total to determine the date that debits do not equal credits as they should. This date (or dates) are the ones you now need to focus on.

Next review the entries on this date for any obvious problems. If none are found, then run the G/L Account Activity Report again for just this one date with various source codes that were used that day. This allows determing by trial and error which source code caused you to become out of balance. Once the problem is narrowed down to specific date and source code, it is normally much easier to determine how to fix the out-of-balance situation.
