FAQ #: 63
I have already updated the Stock Receipts Journal, and I have a back order release in Order Entry for a customer. But I really want to ship the merchandise to a different customer. Can I fix this?
Bring up the back order release that was created by the Stock Receipts Journal in Order Maintenance. Cancel the back order release. When you cancel the back order release, you will be asked if you wish to cancel the backorder, or leave the quantity on backorder. If you still need to fill the customer back order, but you wish to do so at a later time, you will want to leave the remaining quantity on back order. When the back order release has been canceled, the quantity will show up as "available" in Inventory Inquiry. Check your Inventory Configuration options to verify that option # 23 is set to "Review Entire Inventory". Then re-run the Stock Receipts Journal. The program should detect that the items are available in inventory to fill back orders. The Back Order Review Report will probably suggest filling the same customer (as it filled before) again. You will need to not update the journal. Use the Back Order Receipts Review program to change the computer's suggestion for filling the back orders. Then, re-run the Stock Receipts Journal, instructing the program to "Save B/O File". Verify that the Back Order Review Report shows the correct order being filled and update the journal.
If the item you are dealing with is a non-stock or factory direct item, you can use the same procedure as above, with one exception. After you have canceled the back order release, the item will not show up as available in inventory, because non-stock and factory direct items do not udpate inventory quantities. You will need to do a negative receipt through Stock Receipts Entry for the item, using the same purchase order number as before. The system will increment the release number automatically for you. Update the journal with the negative receipt. Then, using Stock Receipts Entry, re-receive the item. You will still need to not update the journal until you have used the Back Order Receipts Review program to change the computer's default suggestions. Then, re-run and update your Stock Receipts Journal.
