Where do the figures on the Daily Business Analysis display come from?

The business analysis figures come from various places in Answers. The Business Analysis Calculations program is responsible for retreiving the various figures displayed.

Cash-The cash balance is determined from the general ledger. Using the Business Analysis Configuration program, users should set up the general ledger accounts that should be added together for the total cash amount. Users with multiple warehouses can define the cash accounts being used by each warehouse in the Business Analysis Configuration.

Accounts Payable-The accounts payable balance is determined using the Cash Projection report. The nightly calculations program runs the Cash Projection report using the current date and dates for the next four weeks. These amounts are then totaled to give the Accounts Payable balance. The "A/P Projection" button will display the weekly breakdown. Users with multiple warehouses can define the A/P accounts used for each warehouse in the Business Analysis Configuration.

Other Liabilities-The additional liabilities amount is calculated from the general ledger. The Business Analysis Configuration should be used to define the general ledger account numbers the system should look at for obtaining the Other Liabilities total. These accounts should not include the Accounts Payable account since this amount is totaled seperately. Users with multiple warehouses can setup the other liabilities accounts for each warehouse individually in the Business Analysis Configuration.

Open Purchase Orders-The open purchase orders amount is totaled automatically by the system. The nightly calculations program sequences through all open purchase orders and totals the outstanding amount. This is done automatically by warehouse.

Net Cash Position-The net cash position is determined by adding up the cash assets and accounts receivable and subtracting out accounts payable and any additional liabilities. Optionally, the system can also exclude the open purchase orders, since this amount will become a liability as the invoices are entered for this merchandise.

Total Orders-This amount is comprised of all the open sales orders and the open backorders. These totals are computed automatically by the system by running an Open Order Register. The amounts for each warehouse are totaled individually.

Cash Forecast-This amount totals the Net Cash Position with the total amount of orders entered and not yet invoiced to give a total of expected cash assets.

Inventory-The inventory value is calculated autoamtically by the system by running an Inventory Status Report. This report extends each inventory item using it's on-hand quantity (available + committed + held + showroom + damaged) by it's cost to get an extended value for each item as well as a total by warehouse and a grand total. These values are then retained by the Business Analysis Calculations program for display here.

Inventory Forecast-The current extended inventory value is added to the amount of open purchase orders to calculate the total expected inventory value, once outstanding purchase orders have been received in.

Daily Sales-The daily sales amount is taken from the Daily/MTD Billing Report which is updated nightly by Order Processing Invoice Register. The sales dollar amount is displayed. The cost of goods sold amount is also retrieved and used to calculate the gross margin dollars and percent.

Monthly Sales-The monthly sales amount is taken from the Daily/MTD Billing Report which is updated daily by the Order Processing Invoice Register. The sales amount is displayed. The cost of goods sold amount is used to calculate the gross margin dollars and percent.

Yearly Sales-The yearly sales amount is also taken from the Daily/MTD Billing file which is updated by the Order Processing Invoice Register.

There is a configuration option that will allow your MTD and YTD totals to be taken from the general ledger. Under General Ledger > File Maintenance > Business Analysis Configuration, users can define the accounts used for sales. The accounts for cost of goods sold can also be defined as these will be used to calculate gross margin dollars and percents. Answers will then compute the MTD and YTD sales using these accounts. This allows you to see other amounts, such as freight, tax, adjustments, etc included in the sales and gross margin figures. The figures in the Daily MTD Billing file are only the amounts posted by the daily invoice registers and do not include other figures that affect your gross margin on the income statement. If you want to see these figures in your Daily Business Analysis, after configuring the accounts you want included, set the configuration option under General Ledger > Advanced to Yes. Users with multiple warehouses will be able to define the accounts for each warehouse individually.
