FAQ #: 89
On some of my reports I have received a message of "Invalid" general ledger account, or I have entries in the error account. How do I fix this?
If the amount was made to an account and marked as "invalid", this means that the general ledger account is actually not on file. Since the account does not exist, you will not be able to being it up in Account Inquiry or Account Maintenance, nor will you be able to make a journal entry to it. To correct this problem, you can do one of two things. 1. Set the account up through the Account Maintenance program. This will allow you see the entries in activity, and to make a manual journal entry to the account. Once you have moved out all of the amounts, you can delete the account. 2. Run the Trial Balance. The trial balance takes all entries that have been made to invalid accounts and "moves" them to the error account, 99999.
Once the journal entries are in an account that you can make a journal entry to, enter a manual journal entry to the invalid or error account that is the opposite of the original entry made. Then, enter an entry to the correct account that is the same as the original journal entry made. For example, if a program credited 100.00 to the error account and it should have been credited to the cash account, enter a manual journal entry to debit the error account for 100.00 and then credit the cash account for 100.00.
