FAQ #: 90
Invalid Committed or BackOrder Quantities.

Sometimes you may see committed and/or back order quantities on inventory items and even detail on the Committed screen and/or back order screen in Inventory Inquiry, but when you try to call up those order numbers in Order Maintenance to view/edit/cancel them, you am told the order # is not on file.

This is almost always caused by abnormal termination of an Order Entry program. Order Entry updates inventory immediately as lines are entered onto an order. It updates both the quantity fields on the master file and the detail file that tracks commitments and back orders. However Order Entry does not save the order header until you have completed the order and left the totals screen. If an Order Entry process terminates abnormally for any reason such as a power failure, P/C crash, etc. then you may have line items on a new order being entered that have been updated, but the order header itself never got saved resulting in the situation described above. To remedy these type of problems, there is a program provided with ANSWERS that will re-synchronize inventory commitments, back orders, etc. with the actual open order files. This program should be run as soon after the Invoice Register has been run as possible. Since most companies have this automatically run at night, a good time to run this rebuild program is first thing in the morning before any other users start logging on. To run this program, login to ANSWERS, go to System Administration-->Run a COBOL Program. Type in "DMOE095" when prompted for the name of the program to run. Just make sure everyone else stays off of the system while this rebuild is running.
