Applying Credit Card Surcharges in Cash Posting
A new feature is available in Cash
Posting that optionally allows applying a Credit Card
Surcharge to customers that opt to pay open invoices with a credit card after
having originally placed them on their "open" account. This works using
the same "CCF" Special Charges code that can be used on sales orders for credit
card terms that are setup to get a surcharge. However you can use the
surcharge in either program independently of the other and it is just offered as
an option in both.
If you are not already using the
surcharge code of CCF on sales orders, you will want to go to Special Charges
Maintenance and set it up for any warehouses used in Cash Posting. Flag it as a
"Surcharge Fee" using the option provided, the desired % in the normal Price box
(which changes to a surcharge fee % box), and a Credit Sales G/L # to post these
to. Usually a Product Code is not desired on these.
Once setup you can enable this prompt in Cash Posting
from the "Apply" pull-down menu bar. Once enabled, if a payment is entered with
recognizable credit card type from the check # drop-down box and the payment
amount entered in the check amount box (this is the amount the customer wants to
pay not including the surcharge), the user will be prompted if they would like
to apply a surcharge to this payment or not.
If you elect to apply the surcharge, the amount box will be
incremented to include the surcharge % and a debit memo will be created on their
account for the amount of the surcharge. The debit memo should then be paid
along with the other invoices during the process of applying payments.
If you change your mind about applying a surcharge during the process, simply
cancel out before finishing the payment and the debit memo will be removed back
off the customer's account. If you decide after the payment is finished you want
to remove it, then it is recommended that you write it off using an Additional
Credit Type and Amount box and having it apply back out of the same G/L # used
when the surcharge was created.
