Paying Vendors thru their Online Portal/Website

Last month we highlighted how customers can now be setup to be invoiced thru their own online portal.  In the fall 2025 release, we also added a way to setup vendors to be paid thru their online portal/website as opposed to a printed paper check, ACH, or credit card. This option is found on the G/L Interfacing tab in Vendor Maintenance under the [Payment Type Setup] button.  This adds a 5th payment option.  If this option is selected you can enter in the vendor's payment portal website address in the "Payment Portal Address" field.

Selected Check Writing also has a new "Online Portal" payment mode that allows you to one or more invoices and credits to denote as paid via the vendor's payment portal.  NOTE:  This feature does not communicate directly with any vendor website.  What it does is provide a convenient link to their website if one has been setup.

The suggested use is to first determine what invoices you want to pay either in Selected Check Writing, using the Cash Requirements Report, or on the vendor website. Then once all invoices that you wish to pay or have already been paid on their site have been selected in Selected Check Writing, you can click on the [Pay Online] button (which replaces the normal [Write Check] button when in normal check mode or the [Pay Vendor] button when in ACH/Bank Check mode). This will then mark the invoices selected as paid just as if you had wrote them a paper check or marked them for being paid via ACH.

It is also suggested that you use the convenient Check/Payment Notes icon to record in detail about the online payment such as confirmation numbers, etc. before clicking on the [Pay Online] button to finalize the payment.

In addition, A/P Invoice Entry and Maintenance will also allow marking an individual invoice as paid via the vendor’s online website. The [Pay…] button which when clicked will pop-up a menu allowing you to choose via Check or ACH, Credit Card, or Online. Similarly new toolbar icons were been added to make paying one of these methods a single click option if desired. The printer icon can be used to pay via a paper check or ACH. The credit card icon can be used to pay via credit card. And the website icon can be used to pay via the vendor’s online payment portal. Just like in Selected Check Writing the online payment option does not communicate any data directly with a vendor’s website. The website link is provided as a simple way to visit the website setup on the vendor master record and then denote the invoice as paid during entry or maintenance of an invoice.

No payment or invoice information is uploaded or transferred to the portal automatically since it is likely all vendor portals will operate differently.  The purpose of this feature is to provide a link to the proper portal and give you another way to marking invoices as paid in addition to writing paper checks, ACH's, or credit cards.
