Surcharges (for Credit Card Fees and other types)
The new release of Answers allows special charges to be set up to compute a surcharge amount when the special charge is added to the sales order. The surcharge can either be a flat dollar amount or a percent and it can be applied to a single line item, or to the whole group of line items on the order.
In Special Charge Maintenance, new fields have been added to denote the special
charge as a surcharge. Instead of entering a price, the Price field is either
the $ surcharge or the %. In Order Entry, when the surcharge is selected from
the Special Charges search, or the Special Charge ID is entered, a box will pop
up and allow the user to either apply the surcharge to the line item immediately
before it, or to the total of the line items currently on the order. This allows
the flexibility if some items need a special charge or tax, and others do not.
Or delivery charges or warranty fees can be added to the total.
Along with the surcharge capability, a Credit Card Surcharge can be established
that has a more "automatic" handling option. With regular special charge
surcharges, the user must either enter the special charge ID on the line, or use
the search to select it. With the credit card surcharge fee recognized by
Answers, Answers will automatically prompt the user to add the credit card
surcharge fee when they move to the Order Totals tab. Additionally, as changes
are made to the order and items added/deleted or quantities changed, it will
prompt the user to modify the fee as needed.
To use this option, set up a special charge of CCF. Answers recognizes this
special charge code as the Credit Card Fee code. In the Codes File Maintenance,
for each credit card terms code, there is a checkbox to denote that "Credit Card
Surcharges Apply".
In Order Entry, when the terms code is a "credit card surcharges apply" term
code and the CCF fee exists, Answers will automatically pop up the surcharge
calculation box when the user goes to the Order Total tab. All the line items on
the order will be shown and the credit card surcharge amount calculated. Unless
the user desires to cancel and not apply the fee, they click on OK and the CCF
special charge ID will be added to the sales order (as the last line) and the
amount added to the total. If additional changes are made to the order, the user
will only see the prompt again IF the order amount changes and the fee no longer
matches the required amount. For example, if your fee is 3% and quantities are
changed, items added, or deleted and the CCF fee is no longer correct for 3% of
the current order total, then the user will be prompted again to change the fee.
The CCF charge does not carry over to B/O releases, it will need to be added on
backorder releases that are credit card term and need to be charged a fee as
well.
