Tip of the Month for: December 2019

Sending Attachments with Automatic Invoices

When invoicing directly from Order Entry and sending automatic emails, the user now has the option of editing the email message, adding attachments, and modifying the email recipients.

By default, when automatic emails for invoices are sent... Order Entry just prepares the email and submits it to the selected email destination and the user does not get an option to change the email message, subject, or to add attached documents.  Now, if desired, individual users can set their Order Entry options to pause and give them an opportunity to edit each email before it is sent.

To enable this option, in Order Entry, from the pull-down menu, select the Show Email/Fax Window on Direct Emails option.  When selected, Order Entry will pause and give them the standard email window that allows editing the recipient, adding attachments, and editing the email message.  For newly entered and invoiced orders, the email subject will show Invoice ###### as the email window is displayed prior to the sales order being released and an invoice number assigned.  If left as is, the invoice number will be filled in during the actual email process.  If the subject is modified, the subject will be sent as the user modified it.

The “Show Email/Fax Window on Direct Emails” option is a per user option that must be set by each user who wishes to use it in Order Entry.
