Accounts Payable Check Enhancements

Check Notes specific to a vendor check or ACH payment can now be entered in various programs in Accounts Payable including Selected Check Writing, Direct Disbursements, Check Inquiry/Void, Vendor Inquiry Account Analysis/Analysis History tabs, and in Check and Bank Reconciliation.  Check notes are stored base on the check number, the cash G/L account number, vendor, and payment date from which they were written.  These will remain on file along with other check information until (if ever) purged from Analysis History.  Check notes like many other notes in Answers can hold up to 999 lines of up to 56 characters each.  A new Notes icon has been added in all of the above mentioned programs to provide easy access to view or enter these check notes as needed.

A new Check Number Search is now available in Vendor Inquiry to assist users in situations where a check number or ACH reference number is known but the vendor to which it was paid is not known.  This search will look in Check Reconciliation, Disbursements History, and the Vendor Invoice Payment History files in an attempt to find the number being searched.  If the number is found and has only been assigned once (as most of the times should be the case), and is for a vendor, you will be taken automatically to that vendor in Vendor Inquiry and a Check # Inquiry screen will display just like you can see when using the Check # Inquiry button in the Analysis and Analysis History tabs.  If the requested number has been assigned more than once such as under different bank accounts, intentionally or unintentionally, it will list out all occurrences found.  From this list, you can then selected which one you want to view.  If the number requested is not for a vendor, you will be informed of such with a message letting you know what type of check it was (such as a Direct Disbursements or Payroll).
