Voiding Older Accounts Payable Checks

Accounts Payable now allows voiding older checks even if they have already been purged out of Account Analysis.  In the past checks that had been purged by the Invoice/Credits Purge program usually ran during End-of-Month were no longer able to be voided causing work-arounds to be needed when an older check was determined to be lost and needing to be re-issued. For this reason and seemingly more lost checks in the mail we had been advising users to consider increasing the amount of time before paid invoices were purged to have a better chance of being able to void and re-issue older check if needed.

That is no longer necessary with this enhancement added in last fall's release.  Now even if a check is older and has been purged along with all of the invoices it paid over into Analysis History, it can still be voided so that a replacement check can be issued or optionally the vendor could be paid another way such as with an ACH (which are becoming increasingly popular for this same reason) or via on-line portals (which more vendors seem to be offering).

Now an attempt to purge an older purged check will still warn the user this check and its invoice have been purged, but the user will be allowed to reinstate the invoices back to an open/approved status to where the check can be voided.  By doing this, a replacement check can then be issued at any time you are ready to do so.  The user will still be shown a list of invoices paid with this check to confirm they are voiding the proper check just like with more recent checks including the option to control the posting date used to record the void in General Ledger.  Do keep in mind that there may still be some restrictions imposed on what void posting dates can be used depending on your G/L configuration as far as posting into prior closed fiscal years or months already closed.
