Overdue Standard Comments for Customers

Overdue Standard Comments can now be setup for customers using a new toolbar icon Overdue Standard Comment in the Standard Comments Maintenance program found under Order Processing-->File Maintenance.  You can setup one or more Overdue Standard Comments by giving each of them a unique "Mailing Code" which can be used to control which customers each should apply to if/when a customer assigned that Mailing Code goes past due.

Multiple Overdue Standard Comments are allowed in case you want to enter friendlier or stricter wording on some customers versus others.  These type standard comments will always be assigned an ID starting with a prefix of "OVERDUE-CODE:".  You should then enter the Mailing Code for this particular comment immediately following the colon ":" in the ID field.  Similar to other standard comments, you can control which forms these print on automatically when a customer goes past due that has been assigned a Mailing Code that matches the overdue code.  The forms include Quotes, Order Acknowledgements, Pick Tickets, and Invoices.

Once one or more of these are setup, the same Mailing Code used in the standard comment ID field immediately following the colon ":" should be entered in the Mailing Code field on the Setup Options tab of Customer Maintenance on any customers that you want this standard comment printed on their assigned forms if/when their account goes past due.  The "past due" determination in this case refers to a calculation done by the system for each customer based on each individual invoice and the terms on that invoice, whether they be the customer's default terms or were overridden on a given invoice.  (Note that the Past Due determination calculation was also improved in the last release and affects when these comments would go into effect.)  The appropriate user or credit manager should be responsible for assigning the desired Mailing Code(s) used for this type of overdue comment to the customers to whom each should apply.

Also, it is not required to assign all customers a Mailing Code for overdue comments if there are some customers that you do not wish for them to print on their forms.
