Answers Menu Search and Menu Map
Occasionally, users need help locating a program option in Answers. While the menu system is very straight-forward, rarely used programs, or new programs can be hard to locate or drill-down to through the various menus.
Answers provides a menu search option available from the
standard Answers menu menu. The menu search can be started
using the
button
located on the main menu. Users can enter a keyword,
combination of keywords, or a description phrase and all of
the menu options will be searched and the results displayed.
Once the desired result is found, users can execute that
program, or go to that sub-menu by highlighting the result
and clicking on Go To.
Search options allow the program to search for any resulting keyword or for exact matches. This means that if you search on Tax Report and choose the "Show Result When Any Keyword Found" option, you will have results that contain either Tax or Report... this may lead to a lot of unwanted results since "Report" is used in many, many different programs. If you choose the "Show Result Only When All Keywords Found", this will narrow the result as "Tax" and "Report" must both appear in the results for the result to be found. There is also an additional option that says the keywords or search phrase entered must match exactly as it is entered.
If you use custom menus, the search program does check, and if the result is normally found on a menu that the user has a custom menu for and the program is not on their custom menu, then it will not be shown as a result. For example, assume the user is searching for Tax Report, these reports are typically found on the Order Processing, Reporting, Sales Tax Reporting menu. However, the user has a custom menu that does not allow them access to the Order Processing menus. Therefore, the result will not be included as they are normally not allowed to access those menus.
If the menu system has passwords on any level of the menus leading up to the found result, if the user attempts to "Go To" that program, they will be prompted for the appropriate passwords. In the above example, the user can access Order Processing, but a password is required for the Reporting menu, they will be prompted for the password before they can access the program.
Additionally, the search can be disabled by user through the User Profiles maintenance. By default, if the shortcut codes option is disabled for the user, then the menu search option is also disabled.
Additionally, a menu map option has been added. This is an option from the search window, but also from the Help menu of the main Answers menu. This option presents a PDF document that displays a menu tree showing the full Answers menu in a printable format. This can also be used in locating programs. It is a separate document outside of Answers, so users cannot "Go To" any programs from this document, but they can see where programs are located in the menu system.
